Seeking to improve the experience of everyone involved in a Hackathon, especially by creating participant-focused solutions, applying in practice the use of agile methodologies capable of enhancing the development and communication of the teams, mentors and event organizers, as well as the ecosystem. creative of the entrepreneurial universe, was that our team developed this portal of tools that allow task monitoring and project tracking, ensuring the management of all the main activities common to a Hackathon in one place. In addition, all the effort put into this project has been motivated by the search for a urgently needed sustainable path to a better world through technology, eliminating the widespread use of stationery during Hackathons, according to the Sustainable Development Goal (SDG) 15 - Terrestrial Life, which promotes the sustainable use of terrestrial ecosystems, proposed by the United Nations.

Lean Canvas

Define your business model quickly

@FredSRochaFred Rocha20/09/2019

Lean Canvas is a tool created by Ash Maurya based on Business Model Canvas, but replacing 4 of the 9 original blocks to work on more risky aspects of creating startups. The main difference between Business Model Canvas and Lean Canvas is in its application, Business Model Canvas is more suitable for established companies that want to see opportunities for innovation. Lean Canvas is suitable for startups that have not yet defined their business model and have not tested their hypotheses, which makes it suitable for hackers.

How it works?

  1. Problem: A brief description of the top 3 problems your startup wants to solve.
  2. Customer Segment: Who are your startup customers? Can they be better targeted? If you have more than one type of customer, the author recommends that you create a lean canvas for each of them.
  3. Unique Value Proposition: What is your product slogan or key feature that makes your product different and worthy of customers' money?
  4. Solution: What is the smallest feature set (MVP) that delivers the unique value proposition described above?
  5. Channels: Make a list of free and paid channels that your startup uses to reach its customers.
  6. Revenue Streams: Identify your type of revenue model - subscription, ads, freemium, and determine assumptions for indicators such as Life time value, gross margin, break-even point, etc.
  7. Cost Structure: List all the fixed and variable costs your startup has.
  8. Key Metrics: Describes key actions and metrics that support revenue generation or customer retention.
  9. Unfair Advantage (Competitive): This item is the last because it is considered the most difficult to fill. An unfair advantage is something that cannot be copied or purchased. You might start your lean canvas without filling this block, but it will be here so that you cover yourself with filling something really different from what's on the market.

In this way, the Lean Canvas tool can help Hackathons participants highlight the most important hypotheses to validate during the program. Therefore, Shawee now has the opportunity to provide participants with a sustainable canvas, without having to use brushes and paper, guiding the members of each team so that they do not waste time on issues that can be worked on later.

Pomodoro

Manage your time intelligently

@FredSRochaFred Rocha21/09/2019

This technique was created by Francesco Cirillo, who used one of those tomato-shaped kitchen timers to manage his time.

Its application consists of running block-split workflows that can improve brain agility and stimulate focus. After much research, Cirillo reached the 25-minute period as the ideal time for these blocks, also known as “pomodoros”.

How it works?

The method can best be performed from the following steps:

  1. Planning: Before starting work, make a list of all the tasks you need to perform that day, placing them in order of importance. Be rational when listing your tasks; Realistic expectations are the key to being productive.
  2. Focus: Any distraction, however small, can hinder your productivity. So get out of your email and social networks and put your phone in the mute. Ask your colleagues not to disturb you while you are working.
  3. Work: Choose your first task, set your timer to 25 minutes, press play and full focus. It is recommended that you do not pause the time meter until the 25 minutes are up.
  4. Short Pause: When your timer beeps that the scheduled 25 minutes are over, you should stop everything you are doing and move away from your desk for 5 minutes.
  5. Back to work: After this first break, you will return to your tasks and repeat this cycle for three more 25-minute sessions, concentrating all your energy and focus.
  6. Long Break: At the end of the four 25-minute sessions, you can take a longer break of 20-30 minutes. Make the most of this time to clear your mind and relax.

Once this is done, the cycle begins again until the end of your business hours or until you have completed all the tasks listed initially, so using the task list tool together is essential. Whereas effective time management is a key factor for all teams in a Hackathon.

SWOT

Strategic quality planning

author04Fred Rocha22/09/2019

SWOT stands for Strengths, Weaknesses, Opportunities, and Threats, which is a very popular business analytics tool.

The SWOT matrix is a classic management technique that has an important pillar in the strategy of the companies that apply it. It is a planning tool that can be used by large corporations as well as by microenterprises and individual entrepreneurs.

The SWOT matrix consists of a table with four quadrants. In each of them, four characteristics of a company are listed - strengths, weaknesses, opportunities and threats. It is basically a way of raising important points for the company's strategy, in the internal and external aspects, which depend on the market.

How it works?

It is the analysis of the internal environment that determines its strengths and weaknesses. And it is the analysis of the external environment that enables the definition of opportunities and threats.

Internal Environment: Usually the internal environment is defined as the one over which the company has control. That is, you can act on it. It is in this domain that you will find the strengths and weaknesses of your company.

Within the inner environment you will find your strengths and weaknesses:

  1. Strengths: Elements and characteristics of your internal environment that represent an advantage over your competition. For example, a hotel that has a great seafront location and is easily accessible may regard this as strengths. Similarly, a hospital that has a highly qualified medical staff, as well as a prestigious and desired public clothing brand, has in these characteristics examples of strengths.
  2. Weaknesses: Similarly, the characteristics and elements of your internal environment that disadvantage your company from competition are its weaknesses. Imagine a canned food factory that is located very far from major centers and therefore has high transportation costs; or an airline that has an old aircraft fleet and therefore has more maintenance costs and delays on its flights. Note that in these two examples the company has control over these weaknesses and can try to change that in some way, even if it is very expensive, as in these two cases.

External environment: factors over which the company has no control, such as climate, interest rates, changes in legislation, exchange rates, natural disasters, environmental policies, wars, economic embargoes, economic crises, elections, etc.

Inside you will find your opportunities and threats:

  1. Opportunities: Whenever an external factor creates a favorable scenario for the company, it represents an opportunity. Imagine a hotel during the Olympics in Brazil and even the airline of the previous example in this period of the Games. This is a great opportunity!
  2. Threats: Any elements or conjunctures that create an unfavorable environment for the company (and over which the company has no control) are threats to the business. In the case of the hotel, a season of heavy storms and bad weather are threats, just as rising fuel prices and the dollar are threats to the airline.

Thus, the SWOT matrix is an essential planning tool for validation in Hackathons, especially for its analytical ability of the internal and external scenarios to which the company will be subjected.

TO-DO

Prioritize completion of important tasks

@TamisDinizTamis Diniz21/09/2019

Have you considered increasing your productivity with just 15 minutes or less a day? Yes! This is possible and used by many people worldwide. Considering the Hackathon scenario as a highly productive environment in which every minute can make a difference, having a hands-on execution plan can be a key differentiator when it comes to winning. And we know that in this competitive ecosystem everyone wants to become champions!

A to-do list is also useful for those who usually procrastinate. Once a task is completed, more energy and courage propels you to conquer the rest.

How it works?

There are 5 essential steps to building a super productive work day:

  1. At the end of each day, write down the six most important things you need to do the next day. Do not write down more than six tasks.
  2. Prioritize these six items according to the order of their importance.
  3. The moment you arrive at your work environment, focus only on the first task. Work until you close it before turning to the next one.
  4. Do the same with the rest of the list. At the end of the day, if you have not yet completed any of the tasks, move it to the next day's list.
  5. Repeat this process every day.

To-do lists are currently available as browser extensions, e-mails, specific online applications, mobile apps, and more.

So don't be out of it and enjoy this simple and highly efficient method, both for your personal life and for better hacking performance. Creating a list of all daily tasks is the key to having complete control over your day and completing your duties with maximum effectiveness!

5W2H

Follow step by step each strategy defined

@FredSRochaFred Rocha21/09/2019

5W2H is a management tool employed in strategic business planning. It proposes to organize actions and determine what will be done to achieve them, for what reason, by whom, how, when and where they will be done, and to estimate how much it will cost.

Usually proposed as a spreadsheet or table, the methodology is often used in projects to evaluate, monitor and ensure that activities are performed clearly and excellently by all involved.

Its name (5W2H) is based on the 7 main guidelines of the tool, which are:

5W

  • What? (what to do?)
  • Why? (Why do?)
  • Onde? (where will it be done?)
  • Who? (by whom will it be done?)
  • When? (when will they be done?)

2H

  • How? (how to make?)
  • How Much (how much will it cost?)

How it works?

By defining each of these points, you can have a complete and well-targeted action plan, let's see:

  1. What: When we decide to act, it is because there is a difficulty to solve or a challenge to overcome. This field serves precisely to describe the problem or the reason for the existence of a project. To make it easier for everyone to understand, the answer should always be short and objective.
  2. Why: This field should be filled in with the possible causes of the problem to be solved or the advantages that the company may have by investing in a particular project. Finally, it is a provocation to encourage the reflection of those involved and encourage them to make suggestions.
  3. Where: You need to base the answer to this “W” on other questions, such as: “Is the action plan being developed directed to all areas of the company or should it be executed in specific sectors only? ? ”Or“ If the company has branches, which of them are part of the project? ”. Finally, delimit exactly the departments on which the project will impact.
  4. When: Any project must have a deadline to start and finish. The purpose of this field is to delimit the time available to perform all tasks. So be as specific as possible!
  5. Who: In this step, we list all project participants, those who will be responsible for performing the tasks, tracking results, and proposing changes if necessary. Thus, they may be leaders, managers or directors of the participating areas, for example.
  6. How: In this field, you should list the methods to be used to put the project into practice, as well as the performance indicators chosen to track its progress. It is essential to clearly explain how those responsible should act to deliver the results and how they will be evaluated.
  7. How Much: The last step of the 5W2H application is to estimate the costs that the proposed solutions will have for the company. This will help assess the feasibility of each idea presented.

5W2H can be applied in countless situations - not just in your business, but in your life as well. After all, this is a tool designed to improve the planning of any activity. Imagine, for example, organizing a trip with friends: just setting up a table with the 5W2H methodology will help you have much more control of everything, especially spending. Now think about your business. The tool can be useful on many occasions - from launching a new product to reducing employee water consumption, for example.

Some other cases where 5W2H can make a difference are:

  1. In strategic planning to make a company more profitable.
  2. In the maintenance of machines of an industry.
  3. Defining a staff recruitment and selection process.
  4. In increasing your customer base.

In view of this, the 5W2H provides more clarity on how to proceed, what is the best way to go to achieve a goal, optimizing time and resources throughout the processes. The easy control of processes and the time optimization it provides makes this tool an indispensable ally in Hackathons.

Notes:

  1. The developed tools, in their current version, have functionalities compatible with those already popularly practiced on the internet. In this case, the user is expected to benefit from centralizing the content offered, including its use through a single login to the Shawee platform, for example (currently each site offers a specific registration form and this leads the user to have that perform multiple logins and manage multiple tabs on different sites).
  2. Data storage, in its current version, exploits a feature of HTML 5 (LocalStorage), in which the developed solutions manipulate the data stored locally in the user's browser. The reason for using data warehousing in the MVP's created is due to the need to comply with specific analysis of the notice, such as: System applicability to solve user experience problems (in order to make it easier to test a solution that presents as functional as possible); Feasibility of real execution of the developed technological solution (in the sense of being fully available for use, including each of the management tools of this project guided all the development stages of our team); Creativity and Innovation (creativity as the most useful and common tools in the context of Hackathons and innovation as to how it is already available and processing data, delivering value to its users); Quality and advancement in the development of the functional physical prototype (in the sense that all solutions are fully functional, including some are complete PWA's).
  3. All solutions developed are open source, and will be available on GitHub after Shawee's OpenHack 2019.
  4. *Finally, it should be noted that during the creation of the solutions it was estimated that Firebase was used for data storage in the scalable version of the project, which in this case could take the same path as CRUD functions with LocalStorage, since both media use the same language, JavaScript.
